Fuel Management Access Devices

Selecting a type of access device is needed for security at the Fuel Sentry.  There are many configurations and selections for this device.  

If vehicle information and personnel information (driver / who pumped the fuel) is desired to be captured by your Fuel Management System,

                                                                  you will need to select access devices for both. The number one choice for most fleets is

                                                                  the Trak Memory Chip Key, engineered and built by Trak for both vehicles and personnel.

                                                                

                                                                  A Card, either magnetic strip, optical or proximity (proximity card or FOB), can be used as

                                                                  well.  This is generally selected if a Card is in use by your organization already.  For example,

                                                                  if  the vehicle has a fuel card assigned: Voyager, Wright Express, or FleetOne; it could be

                                                                  used for this system as well.  If personnel cards are assigned within your organization, it could

                                                                  be read and verified at the fuel island.

                                                                               

                                                                  A device free system can be selected as well, where the driver manually enters the vehicle

                                                                  identification and/or the personnel identification – a PIN. This is not as secure but is

                                                                  used in situations where high security is not required.

Access Device: Personnel Identification Numbers – PIN

 

PINs can be assigned to each driver or vehicle in your organization to gain access to the Fuel Sentry.  This can be anywhere from four (4) to ten (10) characters in length. The number can be automatically generated by the system, transferred from another system, or selected by the person.

 

 Access Device: Card Activated

 

Trak has developed hardware and software specifically designed to utilize retail fleet fueling cards (Voyager, Wright Express, Etc.), for use at privately owned fuel sites without the necessity of additional charges associated with P.O.S. (point of sale) authorization.  Each driver is assigned a plastic card similar in size and appearance to a credit card.  The card stores all vehicle and personnel information.  The cards are read by magnetic stripe on the back, optical method, or proximity.

 

 The Sentry captures the following data:

      ►   Vehicle/ Card ID

►   Type of Fuel Dispensed

►   Quantity of Fuel in Gallons and 10ths

►   Current Odometer

►   Location of dispensing station

Fleet Card Interface

Trak’s Fleet Card Interface allows you to utilize your fleet card for vehicle identification at your fuel islands. It eliminates the additional charges associated with a P.O.S. (point of sale) authorization when utilized at your fuel islands.  Therefore, you have one simple and easy access method for identifying vehicles for both retail fueling and onsite bulk fueling.

You have the convenience of entering your information into one system using the retail fleet card. Therefore, you spend less money and resources on other methods of vehicle identification.

All the retail card information is sent electronically from the retail card provider to your Trak WinCC Fuel Management System software (on your organization’s computer).  This information is downloaded to the Trak SentryGOLD pedestal.  Using the card reader at the SentryGOLD, the system will read the vehicle identification off of the card and verify it against the pre-authorized card information.  This capability eliminates the use of cards that are canceled or reported as lost from fueling. Therefore, offering your organization a streamlined solution for a Fleet Card Interface.

The standard Trak systems use the Memory Chip Key as its actuating device. 

It is a solid-state device embedded in a durable plastic holder.  The read/write  key can be placed on the same key chain as the ignition key for the vehicle, so it is always available and cannot be left behind at the fueling site.  The read/write memory key has been designed for a life of five to ten years.  The Trak read/write Chip key has a life of 1,000,000 read/write cycles.  

Some of the data that is associated with each Trak Memory Chip key includes:

A unique 5- digit code identifies each key in the system. Each key can be individually enabled or disabled from the Central Controller.
A 10 digit alphanumeric field is used to identify the vehicle number. Each of the keys is separately assigned permissible fuels.
Each key can be assigned with a maximum amount of fuel to be obtained in 24 hours from a site (up to 196 gallons). The maximum may be set to an unlimited amount.
A unique 3-digit code issues to identify keys in the same system.
Many colors to choose from so you can color code by security level, department, vehicle, and personnel/driver.
Odometer reading or hour meter reading at time of fueling.
Access Device: RF ID – Automatic Identification

In the Fully Automated (or passive) version of our system the vehicle has the equipment pre-installed and from that point forward simply drives up to the fuel island and fuels. “Hand shaking” is performed via radio between the vehicle and the fuel island.

Trak offers four (4) versions of the SMARTag for automated vehicle identification via Radio Frequency (RF). 

If your organization currently utilizes personnel cards, these can be used for identification at the Trak system. Whether it is a barcode, magnetic stripe or proximity - it makes no differences - the Trak Sentry can read all HID Compatible cards.
